Family formals are incredibly important – these are the classic group portraits you’ll treasure decades later as a record of your loved ones. But without a plan, they can feel chaotic. As a Fredericksburg wedding photographer, I assure you with a little planning, family photos can be stress-free and efficient. Here’s how to make it happen so you can get back to enjoying your reception!
Plan in Advance & Make a Shot List
The key to smooth family formals is planning your group shot list before the wedding. Weeks before the big day, decide which combinations of family members you want in photos. Start with VIPs – immediate family and grandparents – then consider extended family if time allows. Most couples keep it to about 10-15 groupings max, which typically takes around 20-30 minutes of shooting. Prioritize the shots that matter most (parents, siblings, wedding party) and note any must-haves. By preparing this list and sharing it with me (your photographer) ahead of time, we can organize the flow to keep things moving efficiently. No scrambling or debating who’s next – it will all be laid out.
Best Times to Schedule Family Portraits:
I recommend taking family photos either immediately before or after the ceremony, depending on your timeline. If you’re doing a first look, we can capture many family formals before the ceremony while everyone’s fresh (and on time). This has the bonus of letting you enjoy more of cocktail hour later. If you prefer not to see each other pre-ceremony, no worries – we’ll do immediate families separately beforehand, and then all combined family portraits in the hour after the ceremony. Many couples use the cocktail hour for these pictures. We’ll gather family at a pre-planned spot and knock out the list so you two can join the tail end of cocktail time. The ideal time also depends on lighting; if there’s pretty outdoor light at a certain time (or an indoor space if rain), we’ll plan around that. Rest assured, we’ll find the sweet spot in your wedding day timeline for family formals so it’s smooth and not rushed.

Tips for Keeping Family Members Organized:
Communication and delegation are everything. Prior to the wedding, tell key family members when and where to be for photos – for example, “Immediately after the ceremony at the altar” or “3:30 PM in the garden before guests arrive”. This heads-up ensures no one wanders off at the critical moment. I also suggest assigning a “family photo coordinator”– someone (not in the photos) who knows names and faces and can help round people up. A blunt but loving aunt, a day-of coordinator, or an organized friend can be invaluable to call out, “All Smith family, you’re up next!” Meanwhile, my second photographer will act as a wrangler too, lining up the next group “on deck” while I’m shooting the current one. With this tag-team effort, there’s literally no downtime – as one group steps out, the next is already queued. Another tip: start with the largest group and whittle down. We’ll often photograph both sides of the family together first if possible, then release anyone not needed as we get to smaller groups. This way grandparents or young kids can head to cocktail hour sooner. Finally, don’t worry about posing – we’ll guide everyone into place and make sure each grouping looks great. Your job is just to smile and maybe corral a straggler or two; we’ll handle the rest!
By taking these steps, family formals can truly be stress-free. I’ve had couples blink in surprise when we’re done and say, “That’s it? We’re finished already?”.
